Special training or attributes needed or helpful to get job in this industry (or specific department):  My heavy background in Excel was a contributing factor as I workup a large amount of statistics on performance with our customers.

 

Number of managers and/or staff supported:  8

 

Typical work hours:  8-5

 

Weekends or overtime hours:  Seldom work overtime and would be paid for it. I am required to assist where needed during hurricane warnings. (patients have to be moved, supplies have to be inventoried, records have to be updated on computers, etc)

 

General salary range (Note: This is a general figure or range provided by survey respondent and may NOT be an exact salary in order to give survey respondent some privacy. Also you must take into account that the number of years worked in industry/department may contribute to this salary as well as criteria such as level of position and person reports to, required hours and geographical location.):  approx. $19.25/hr

 

Benefits (direct or indirect):  The healthcare benefits are a lot cheaper than the last position I held. All others are comparable.

 

Lingo you might hear in this industry:  Taking minutes at first was a challenge, as I did not come from a medical background.

Terms like AHCA, FMQAI, JCAHO – all organizations that monitor healthcare. All are pronounced as words ie. JCAHO=jayco.

Doe= date of event, poc-plan of care (these are stated as initials)

In some of their notes to me, they used medical symbols that I did not understand.

 

A typical day on the job:  I produce surveys from a program that I mail merge and send out. I handle all the updates and revisions to policy and procedures (we have 3200), and often fax very large medical records to Medicare. Support the vice president of compliance [as needed].

 

Positive things about being an administrative professional in this industry:  As I work for a nonprofit organization, I know that the bottom line is helping people.

 

Negative things about being an administrative professional in this industry:  I really like being an administrative assistant; however for this particular position, I am not used that way. I do not keep my boss’ calendar (in fact I seldom am told where she is). No one travels. I do not answer anyone’s phone except my own. Occasionally I do an expense report, but this is a rarity. This is not my ideal job.

 

Type of workspace/office:  Cube – with a window looking outside.

 

Primary responsibilities as an administrative professional in this position: 

Keep the Policies and Procedures updated.

Prepare, mail and compile the stats on performance improvements.

Take minutes at meetings. Transcribe and distribute same.

 

Top thing(s) incumbent admin would require of job applicants seeking to be her/his position replacement: 

Advanced Excel skills.

Quiet personality (this is the quietest office I have ever worked in)

Sense of humor (you will need it)

 

Office machines or equipment operated regularly:  Computer, fax, phone, copier

 

Technology (hard) skills used regularly:  Mail merge, Pivot tables in Excel, MS Word, PowerPoint.

 

Critical soft skills:  Good phone skills, good attitude. You talk to nursing staff at times and must remember that their job is much more difficult than yours.
